How do I use bulk actions in the Team Library?

Select multiple Tangos and folders at once to move, duplicate, share, delete, or change the author, instead of working through them one at a time.

Bulk actions are available to Creators and Admins on content they have edit access to. Edit Author is available to Admins only.

What are bulk actions?

Bulk actions let you select several items in your Team Library and act on all of them in a single step. Select the items you want, then choose an action from the bar that appears at the bottom of the screen.

When should I use it?

  • Reorganizing your library and moving a batch of Tangos into a new folder

  • Cleaning up outdated content after a process changes

  • Sharing a set of related Tangos with the same team or group

  • Transferring a departed teammate's content to a new author (Admins)

  • Creating copies of several Tangos as a starting point for a new process

Who can use it?

  • Creators can bulk move, duplicate, share, and delete content they have edit access to.

  • Admins can do all of the above, plus Edit Author.

  • Items you do not have edit access to show a disabled checkbox. Hover over it to see why it cannot be selected.

How does it work?

Selecting items

Your library has two modes. Normally, clicking a card opens the Tango. As soon as you check the first item, the library switches into selection mode and clicking becomes selecting.

The fastest way to select everything is list view. Switch your Team Library from card view to list view and a checkbox appears at the top of the list. Click it once and every visible item is selected, no keyboard shortcut needed.

This pairs well with filters. On Enterprise plans you can narrow the library first, by author, folder, or another attribute, then switch to list view and select all to act on exactly that set. Filtering by author and selecting all in list view is the quickest path for cleaning up a departed teammate's content.

Selecting all applies to whatever is currently on screen, so filter first if you only want part of your library.

Taking an action

With your items selected, choose one of these from the action bar:

  • Edit Author (Admins) — transfers the selected items to a new author. Comments, analytics, and version history are preserved. See the author reassignment article for full details.

  • Move to — moves the selected items into a folder you choose.

  • Duplicate — creates a copy of each selected item in your Drafts, named "Copy of [original title]," where you can rename, edit, and publish it.

  • Share — opens sharing for all selected items at once.

  • Delete — moves the selected items to your workspace archive.

Move, Duplicate, Delete, and Edit Author each ask you to confirm, with a summary of exactly what will be affected.

Good to know

  • Deleted content is recoverable. Deleting removes items from your library, from search results, and from any Guide Me links pointing to them. Admins can restore them from the workspace archive.

  • Duplicates land in Drafts, not the Team Library. They are not visible to your team until you publish them.

  • Moving a folder brings its contents. Subfolders and Tangos inside a folder move with it and take on the destination folder's sharing and visibility settings.

  • Author changes do not cascade. Reassigning a folder does not change the author of the items inside it. Select those items directly if you want them moved too.

  • Large selections take a moment. Big batches are processed in groups behind the scenes, so give it a few seconds before navigating away.
